Subject: COD Common Record XML Schema Version 4.0a Now Available

In Spring 2014, we plan to implement Common Origination and Disbursement (COD) System functionality that will support the processing of Federal Pell Grant (Pell Grant), Iraq and Afghanistan Service Grant, Teacher Education Assistance for College and Higher Education (TEACH) Grant, and William D. Ford Federal Direct Loan (Direct Loan) awards for the 2014-2015 Award Year. In conjunction with this implementation, we will begin using a new version of the COD Common Record Extensible Markup Language (XML) Schema. The new schema version is 4.0a.

Note: The COD System will not process records for the Academic Competitiveness Grant (ACG) and National Science and Mathematics Access to Retain Talent Grant (National SMART Grant) programs for the 2014-2015 Award Year. However, changes to the COD Common Record XML Schema may still apply to records submitted for these programs for prior award years.

Effective upon completion of the Spring 2014 COD System implementation—

  • All 2014-2015 Common Record documents must be sent using COD Common Record XML Schema Version 4.0a. All Common Record responses will be sent by the COD System using COD Common Record XML Schema Version 4.0a.

  • Unsolicited system-generated responses for all award years will be sent by the COD System using COD Common Record XML Schema Version 4.0a.

  • COD Web Activity responses for all award years will be sent by the COD System using COD Common Record XML Schema Version 4.0a.

  • All available school reports, including data requests, will continue to be sent in formats other than XML.

  • We will begin to fully validate all Common Record files against the published COD Common Record XML Schema (see also a July 11, 2013 Electronic Announcement).

Note: With the Spring 2014 implementation, we will also retire several COD Common Record XML Schema versions, including 2.0e, 3.0a, 3.0b, and 3.0c. If a school submits a Common Record batch using one of the retired schema versions, the batch will not be processed and the school will receive COD Reject Edit 210. More information about this edit can be found in the schema information posted at the link below. We encourage schools to begin the necessary steps to prepare for this coming change.
