Subject: Issue Alert: Read Only Users of FAA Access to CPS Online Web Site Unable to Access 2013-2014 Records in Student Inquiry
We would like to alert the community to two issues we discovered recently with the Student Inquiry feature of the FAA Access to CPS Online Web site that affect users with “Read Only” rights who are trying to access and view student data. These issues do not affect users with Write access to the FAA Access to CPS Online Web site.
Issue Description
Both of the issues we discovered occur after you access the FAA Access Main Menu on the FAA Access to CPS Online Web site as a Read Only user and select “Student Inquiry.”
When you select the Student Inquiry option, a page displays requiring you to enter your TG number, Federal School Code, and the award year you want to access. After you select the award year and proceed, a page displays that requires you to enter the identifiers (i.e., SSN, name, and date of birth) for the student record you want to access. On this page, an additional award year field is displayed. Normally, you can confirm the value in this award year field and proceed with opening the student’s record or you can switch to a prior or subsequent cycle (depending on the time of year) and open the student’s record for a different award year, regardless of the version of Student Inquiry you originally logged into.
This additional award year field is not functioning correctly currently, however, and is the source of the two issues we identified for Read Only Student Inquiry users:
1) If you are logged into the 2013-2014 version of Student Inquiry, the only award year option available for selection is 2014-2015.
2) If you are logged into the 2014-2015 version of Student Inquiry, no award year options are available for selection.
As a result of these issues, Read Only users are not able to access or view 2013-2014 student records in either the 2013-2014 or 2014-2015 version of Student Inquiry.
Read Only users can, however, access and view 2014-2015 student records, provided they log into the 2013-2014 version of Student Inquiry.
Workaround
At this time, there is no workaround for these issues. We will implement a resolution to this issue in the next release of the FAA Access to CPS Online Web site, which will be available as of January 26, 2014.
