Summary: Pell Grant Verification Status and SSN/Name/Date of Birth Change Reports Now Available

We are pleased to announce the availability of two Pell Grant reports that are enhancements to the Common Origination and Disbursement (COD) System for the 2004-2005 Award Year. The Verification Status Report and the SSN/Name/Date of Birth Change Report were generated and sent for the first time to schools' Student Aid Internet Gateway (SAIG) mailboxes starting on November 10, 2004.

Verification Status Report

The Verification Status Report is available for the 2004-2005 Award Year and forward. It will be generated monthly on the first Sunday of each month and distributed to schools' SAIG mailboxes (Message Class PGVR05OP) the following Monday and Tuesday. In addition, this report is available via a data request and on the COD web site at www.cod.ed.gov/. On the COD web site, this report can be found under the Services tab.

Quality Assurance (QA) schools will not receive this report except upon school-initiated data requests. Data requests for this report can be submitted via batch or via the COD web site on the Batch screen under the Pell Data Request link.

The report provides a listing and a summary count of disbursed Pell awards for all students selected for verification by the Central Processing System (CPS) for whom the school submitted a verification status code of "W" or blank. The report contains new records and previously reported records with the new records listed first.

Notes About the Report:

  • Schools with both Reporting and Attended campuses will receive an all campus report as well as an individual report for each Attended campus.
  • Due to the test execution performed by FSA prior to releasing the initial report to schools, a school's initial report may contain records marked as previously reported even though schools are seeing these records for the first time. Please disregard the information marked in this column of the initial report. Beginning with the second Verification Status Report, the previously reported information will be current and accurate.
  • For a student listed on the report, if a school has completed verification or determined that the student is not required to be verified, the verification status code must be updated to either a "V" or "S" in the COD system. Until this update occurs in the COD System, the student will continue to appear on subsequent Verification Status reports.
  • While "W" (selected by CPS but verification is incomplete) is a valid status for a Pell Grant award, no further disbursements on the award will be accepted. In addition, if the "W" status is not updated in the COD System, the previously accepted disbursement will be reduced to zero in the future.

SSN/Name/Date of Birth Change Report

The SSN/Name/Date of Birth Change Report is non-award year specific. The report, which has been available for the Direct Loan Program, is now available for use in the Pell Grant Program. This report is sent to schools' SAIG mailboxes (Message Class PGSN05OP) and is available on the COD web site at www.cod.ed.gov/. On the COD web site, this report can be found under the Services tab.

This report shows a change in SSN, name, or date of birth for a person on the COD System and will be produced for all Reporting schools that have an award (origination) for that person on file for at least one of the three most current award years. The data in this report is designed to assist in resolving possible person identifier discrepancies between the COD system and a school's Pell Grant award especially when the school has not been the source of the person identifier changes.
