To ensure that schools meet regulatory and reporting requirements, the Common Origination and Disbursement (COD) School Relations Center proactively monitors the processing and reporting of disbursements for the Pell Grant and Direct Loan programs. This monitoring process identifies disbursement activities at a school that, if ignored, may lead to compliance issues. The COD School Relations Center then notifies the school of the results of the monitoring process.
To improve the service that we provide to schools, we have enhanced the way that the COD School Relations Center notifies a school of the monitoring process results. Previously, the COD School Relations Center sent multiple e-mails to a school at various intervals. Based on feedback from schools, the new process incorporates all of a school's monitoring process results for both the Pell Grant and Direct Loan programs into one password protected e-mail that includes student/borrower-specific information.
Beginning Monday, May 24, 2004, the COD School Relations Center will send a series of two weekly e-mails to a school for which there are monitoring process results to report. We have attached the text of the two e-mails to this announcement.
- The first e-mail in the series will be entitled "Action Required - COD School Monitoring Part 1" and will contain a summary of the contents of the second e-mail. In addition, the first e-mail will contain a password to open the attachment to the second e-mail.
- The second e-mail in the series will be entitled "Action Required - COD School Monitoring Part 2" and will include an attached password protected MS Word document containing information specific to the school. The password contained in the first e-mail will open the attachment.
- If the school participates in the Pell Grant Program, the attachment will contain the school's Pell Grant Unsubstantiated Cash information and Pell Grant Potential Overaward (POP) situations.
- If the school participates in the Direct Loan Program, the attachment will contain the school's Direct Loan Unsubstantiated Cash information and Unbooked Direct Loans.
A school will not receive the series of two e-mails if there are no monitoring process results to report that week.
Note: The COD School Relations Center will continue to use the Financial Aid Administrator/Director of Financial Aid's e-mail address to notify a school of the results of the monitoring process. Schools must ensure that the COD web site contains the most current contact information.
