CPS/WAN Technical Support wishes to alert all users of the EDExpress for Windows 2004-2005, Release 1.0 Packaging module to a recently discovered issue that affects the import of ISIR data into the Packaging module.
*** Issue ***
During ISIR data import into Packaging, Release 1.0 is using the Enrollment Status on the ISIR transactions being imported to populate the Enrollment Status field on the Awards tab. The Packaging ISIR import process should be populating the Enrollment Status field based on the parameters of the Academic Year Profile setup you select prior to import. As a result, EDExpress may, in some cases, award funds based on the ISIR Enrollment Status instead of the Academic Year Profile Enrollment Status.
For example, if you set up your Academic Year Profile with "3/4 time" in the Enrollment Status field(s), but the ISIR you are importing indicates an Enrollment Status of "Full Time," the software will populate the Enrollment Status on the Awards tab with the value of "Full time" instead of "3/4 time".
However, if the Enrollment Status field in the Academic Year Profile is set up to pull the Enrollment Status from the ISIR Enrollment Status, the software correctly imports this field.
Note: This issue does not affect ISIRs that have a blank Enrollment Status. If the Enrollment Status on the ISIR is blank, the software will use the Enrollment Status in the Academic Year Profile setup when populating this field on the Awards tab.
*** Workaround ***
You can update the Enrollment Status field by manually entering the value on the Awards tab of the student's record, by using Packaging Multiple Entry, or by importing an External Change file created by your mainframe.
To update the Enrollment Status field using Multiple Entry:
1) From the main menu of EDExpress, go to Process | Multiple Entry | Packaging.
2) Select the Enrollment Status that needs to be modified ("Term 1 Enr. Status", "Term 2 Enr. Status", etc.) You may select more than one depending on how many terms are affected.
3) In the Value column, enter the value you want to change the Enrollment Status to.
4) Optional: To choose specific student records to update, you can use the SSN File by clicking on the ellipsis button and enter students' SSNs, click Selection Criteria and enter a Query, or click the "Choose Selected Records" button.
5) If you want to update all the Packaging records in your database, do not apply any selection criteria --- instead, simply click "OK" on the Multiple Entry screen.
6) Click "Save."
7. Click "Yes" to save changes.
8. Click "Yes" when asked if you are sure you want to update these records.
If you want to update these records using an External Change file, please use the Packaging Import External Change Record Layout available in the 2004-2005 Packaging Technical Reference. The 2004-2005 Packaging Technical Reference can be downloaded and printed from the References section of the on the Department's Federal Student Aid Download (FSAdownload) Web site (located at FSAdownload.ed.gov).
This issue will be resolved in EDExpress for Windows 2004-2005, Release 2.0, due for release in March 2004.
