Re: COD Edit 012 Clean Up Instructions
In recent months, the Common Origination and Disbursement (COD) System has been experiencing processing issues with COD Edit 012 [No eligible SSN, DOB (and Last Name for Pell Grants) combination match at CPS for Student]. This was discussed in the Electronic Announcement on IFAP dated October 6, 2003. All of code problems associated with this edit have been resolved for both the 2002-2003 and 2003-2004 award years.
The overall solution involved many code fixes, with the last taking place on November 10, 2003. Previous to that fix, COD advised schools they needed to resubmit any outstanding rejected records for processing. While a majority of the records were submitted, a small population was not. As a result, COD has developed a clean up plan to assist schools with correcting the remaining records.
Please note, not all of the rejects are incorrect. Schools should validate the SSN, and Date of Birth (and Last name when applicable) submitted on the record against the same data elements on the student's ISIR based on the reported CPS transaction number.
· There is a very small population of schools that have 2002-2003 records with rejects. As a result, the COD School Relations Center is in the process of contacting all of these schools by telephone to discuss the cleanup options that are available.
· For the outstanding 2003-2004 records, schools will need to review the records that have rejected for COD Edit 012. If you feel the reject is incorrect, you need to notify the COD School Relations Center by telephone COD Customer Service will then review the clean up options with you.
