RE: Requesting Pell Grant Reports via Batch and COD Web Site

Since the inception of COD, the only way schools could request Pell Grant reports was to contact the COD School Relations Center by phone or e-mail. We are pleased to announce that this is no longer the process to request standard reports. The Pell Year-to-Date (YTD), Reconciliation File, Electronic Statement of Account (ESOA), and Multiple Reporting Record (MRR) for the 1999-2000, 2000-2001, 2001-2002, 2002-2003, and 2003-2004 award years are now available via the COD web site, www.cod.ed.gov, or via the regular batch process.

Please note an important exception for the YTD: Depending on a school's software solution, some Full Participants (including all EDExpress users for 2003-2004) are unable to receive the Year to Date report by any means until late fall. At that time COD will add this important functionality and EDExpress will issue version 9.2 to coincide with COD. However, under the current version of EDExpress, if a school requests the 03-04 YTD, it will be processed and can be downloaded but a school will be unable to import the YTD until 9.2 becomes available. EDExpress users in particular are reminded that for the 2003-2004 Award Year they are Full Participant schools and are currently unable to import the YTD report into their EDExpress application for processing; they should NOT request the YTD until 9.2 is available.

Pell Reports are provided in the fixed length format detailed in the Record Layouts in the Custom Layouts section of the corresponding award year Technical Reference. The Technical References are available on FSA Download, www.fsadownload.ed.gov or IFAP, www.ifap.ed.gov.

Web Requests

In order to request reports on the COD web site, you will need to login to COD. If you are in need of access to the COD web site, please refer to the IFAP posting at: http://ifap.ed.gov/cod/0318Schoolaccess.html.

To request a report via the COD web site, click on the Pell Data Request link located on the left hand side of the batch screen. You are able to create new report requests, and view previously requested reports. When a new request has been entered into the COD System and submitted, the screen displays the message "Pell Data Request Created Successfully". Your report will be sent to your SAIG mailbox within 24-48 hours.

Batch Requests

COD is able to accept batch requests from the 1999-2000, 2000-2001, 2001-2002, 2002-2003, and 2003-2004 Award Years in their year specific format. We will accept, process, and respond in the year specific formats. Please refer to the applicable year Technical Reference for the correct record layouts and batch types. Once COD has received the data request, the fulfilled report will be placed into your SAIG mailbox in approximately 48 hours.
