RE: Verification Reporting and Updating of Interim Code W

Schools are required to complete verification of Title IV applicant information in accordance with regulations found in 34 CFR 668.51 and in connection with the calculation of the applicant's expected family contribution (EFC) for the Federal Pell Grant, campus-based, Federal Stafford Loan, and Federal Direct Stafford/Ford Loan programs. Additionally, for the Pell Grant program, schools are expected to report a verification status code to the Common Origination and Disbursement System (COD) that reflects the appropriate verification action for each student for whom there has been a disbursement.

The Verification status codes for 2002-2003 are

  • "V" (school has completed verification),
  • Blank (school has not verified because it was not required according to the exclusions set out in 34 CFR 668.54) or
  • "W" (school has made an interim disbursement to a student elected for verification under the provisions of 34CFR 668.58.
As the 2003-03 Pell Grant reporting year draws to a close, all schools having made an interim Pell grant payment should have concluded verification activities and should have changed a student's verification code from W to either V or blank, as is appropriate. The COD system is preparing to send a text message to schools that have one or more student records still reported with a code of W. This message will be sent to SAIG mailboxes in the message class PFTX03OP, along with a file of student records reported to CODwith a W verification code. This file will be in the message class PGRC03OP.The message is a warning that student awards will be considered an overaward and reduced to a zero dollar amount ($0.00), even if award payments were previously accepted in COD. This reduction is scheduled on or after August 25, 2003. The message will also be available for viewing on the COD Web at www.cod.ed.gov under the School Correspondence page.
