SUBJECT: Invalid SYSG04OP Batches
DATE: April 25, 2003
The CPS sent out SYSG04OP files on April 24 containing students whose paper Free Applications for Federal Student Aid (FAFSAs), Renewal FAFSAs, and SAR corrections for the 2003-2004 cycle had not been processed, as described in Network Message #60.
There was, however, a processing issue with the SYSG04OP files sent out on April 24. The first four characters of the students' last names are blank on the file. A new SYSG04OP file was sent on April 25 to replace that file.
If you have not yet imported the SYSG04OP file sent on April 24, please do not import it.
If you have already imported the file, you will need to identify the students who were in the batch and delete the ISIRs that you received. If you do not delete the records, EDExpress and other third-party programs may skip the records when you import the replacement SYSG04OP file.
EDExpress users can locate the students who were in the SYSG04OP batch by creating a query using "REPROCESSED REASON CODE" as the Field, "=" as the Operator, and "99" as the Value.
Users of third-party software can identify the records by a REPROCESSED REASON CODE of 99 in positions 1670-1671 of the ISIR record.
The replacement SYSG04OP file sent on April 25 will contain the same students and the same transaction numbers as the previous batch.
EDExpress users should make sure "Update demographic data?" is checked on the Import dialog before importing the replacement SYSG04OP file so that the students' demographic records will be updated.
We apologize for any inconvenience this has caused.
