RE: Using Serial Numbers in ISIR Correction Submissions
The Central Processing System (CPS) would like to clarify p. 3-89 of the 2003-2004 EDE Technical Reference for users of mainframe and/or third-party software. This message does not apply to EDExpress users.
The Correction Export Record Layout on p. 3-89 of the 2003-2004 EDE Technical Reference correctly states that positions 575-579 must contain a serial number in ascending sequential order for each correction line. We wish to clarify, however, that the serial numbers must be incremented per student ID rather than per line in the correction file.
When a correction to a student's record requires two or more lines, the same serial number must beu sed for each line, as illustrated in the example below. (The example is not intended to be an accurate reflection of the layout of a correction record.)
111111111AD01Â Â Â Â Â Â Â Â Â 000001H
111111111AD01Â Â Â Â Â Â Â Â Â 000001H
111111111AD02Â Â Â Â Â Â 000002H
222222222GS02Â Â Â Â Â Â Â Â Â Â 000003H
333333333DF01Â Â Â Â Â Â Â Â Â Â 000004H
In the example above, corrections to student ID 11111111AD01, require two lines in the correction file. The serial number (00001) is not incremented because both correction lines apply to the same student and the same transaction. A correction to transaction 02 for this same student in the same export file requires a new serial number (000002) because it is a different transaction. Corrections to student IDs 222222222GS01 and 333333333DF01 require new serial numbers (000003, and 000004) because they are different students.
If the serial number is different for two or more lines of corrections to the same student's record, the CPS generates two or more ISIRs, neither of which reflect a complete set of corrections and may cause confusion upon receipt.
