SUBJECT: Issue Alert: 2002-2003 EDExpress Pell YTD Import Edit Report
CPS/WAN Technical Support has identified an issue in 2002-2003 EDExpress affecting the Import Edit Report for Pell Year-to-Date (YTD) files.
When a 2002-2003 Pell YTD file (PGYR03OP) is imported, the Import Edit Report incorrectly displays “$0” in the YTD Disb Amount column for all records. This is a display issue only and does not affect the Compare and Print Exceptions report, the data within the file, the Disbursement Record, or any EDExpress Disbursement report. Users can print the List – Processed Disbursements Year-to-Date report to view all processed Disbursements that have been imported into EDExpress.
Schools use Pell YTD files to rebuild databases that have become corrupted or to reconcile their Pell records with COD’s records. The file provides information about students’ origination and disbursement data, as well as a summary of all origination and disbursement data submitted by the school.
To use a Pell YTD file to rebuild an EDExpress database:
1.) Go to File | Import | Pell.
2.) Choose “YTD Data (PGYR)” as the Import Type.3.) Click on the File button and select the PGYR03OP.* file you wish to import.4.) Click the Open button.5.) Choose “Rebuild All” from the Update dropdown list to update all records, or choose “Selected” to update specific Pell records.6.) Click the OK button to import and print the Pell YTD file.
To use a Pell YTD file to compare data in your EDExpress database with COD:
1.) Go to File | Import | Pell.
2.) Choose YTD data (PGYR) as the Import Type.3.) Click on the File button and select the PGYR03OP.* file you wish to import.4.) Click the Open button.
5.) Select the “Compare and Print Exceptions” checkbox to view any discrepancies between the Pell data in your EDExpress database and the data within the Pell YTD file.6.) Select the “Print All” checkbox to view all records in the EDExpress database and the Pell YTD file.
