RE: Tip: Verification Status Code field in EDExpress 8.1

CPS/WAN Technical Support would like to provide you with information regarding the Verification Status Code, which is located on the Demo tab in 2002-2003 EDExpress Versions 8.0 and 8.1.

The valid values for the Verification Status Code field are V (Verified), W (Without Documentation) and blank. If you create Pell Origination records in EDExpress Version 8.1 by importing from your ISIR database, it is very important to have the correct Verification Status Code on the Demo tab. The Verification Status Code on the Pell Grant tab will be updated from the corresponding value on the Demo tab and not by the ISIR data.

If the Verification Status Code is blank when you import an ISIR from CPS (Central Processing System), EDExpress will update the Verification Status Code field with a W if the ISIR has been selected for verification by CPS and will leave the value blank if the ISIR has not been selected for verification.

If you manually create a student's demographic record by selecting File | New and then populate the fields on the Demo tab, the default value for the Verification Status Code will be W. We recommend you change the Verification Status Code from W to blank prior to saving the record, since an ISIR has not yet been associated with the student's record.

NOTE: If a student record is manually created on the demo tab and is saved with a W Verification Status Code, and an ISIR which is not selected for verification is later imported, the Verification Status Code will remain W. It will not be overwritten with a blank value. If the Pell Origination Record for this student is then created by importing from the ISIR database, the Verification Status Code will be updated with a W, the incorrect value from the Demo tab.

Demographic records having a Verification Status Code of W with an ISIR which is NOT selected for verification can be updated to blank on each individual record or by using Multiple Entry.

To update the Verification Status Code in the Demographic record through Multiple Entry, follow the steps below:

1) Select Process | Multiple Entry | Global.

2) Select field #1, Verification Status Code. Do not enter a value. Click OK.

3) Change each value of W to blank on the Global Multiple Entry dialog. Click Save.

4) Click Yes on the remaining dialogs to save the records.

5) Re-import your ISIRs to update the Verification Status Code with the correct value based on the associated ISIR.
