Notice: Reminder to begin using the new Transfer Student Monitoring Process in NSLDS

Beginning on July 1, 2001, all schools are required to use the NSLDS Transfer Student Monitoring Process for mid-year transfer students. This notice is intended for those schools that are not yet doing so.

Background:

As described more fully in Dear Partner Letter GEN-01-09[1], effective July 1, 2001 schools are no longer required to obtain a paper Financial Aid Transcript (FAT), or respond to another school's request for an FAT for any incoming student, including a "midyear"transfer student. Instead, schools must now obtain financial aid history information for midyear transfer students using the NSLDS Transfer Student Monitoring Process.

Under the Transfer Student Monitoring Process, a school "Informs" NSLDS of its midyear transfer students by entering information about those students on the NSLDS web site at www.nsldsfap.ed.gov or by sending a batch file containing that information to NSLDS. NSLDS "Monitors" each student's financial aid history to spot relevant changes occurring since the latest ISIR was generated and sent to the school. Whenever NSLDS determines that such a change could affect the student's eligibility for Title IV aid, NSLDS "Alerts" the school. It does so by updating the student's financial aid history information on the school's Transfer Student Monitoring web pages. At the school's option, NSLDS will also send an "Alert file"to the school if the school has chosen to receive Alerts via the batch process. At the same time, under both the on-line and batch processes, NSLDS sends an e-mail message to the school saying there is new Alert information that needs to be reviewed.

Action Needed:

Before your school can use this new process, you must access the NSLDS web site at www.nsldsfap.ed.gov and complete the School Transfer Profile Add screen. The information in your school's profile tells us several important things about how your school wishes to administer the Transfer Student Monitoring Process. This information includes--

        the name and contact information of the person at your school that NSLDS can contact about the Transfer Monitoring Process;

·Â Â Â Â Â Â Â Â the e-mail address you want us to use when we send Alert notifications; and

·Â        your current preference about receiving Alerts using the web, via batch files, or both.

As of the date of this notice, we have received profile information from approximately 2,000 of the more than 5,000 schools that should be participating in the Transfer Student Monitoring Process. If you have not completed your school profile, please take a few minutes now to do so. It is simple and quick. After you log on to www.nsldsfap.ed.gov and enter your NSLDS User ID and Password, click on the "Tran" tab. This will take you directly to the School Transfer Profile Add screen. Detailed instructions for completing your school's profile are attached to this notice.
