RE: Availability of Quality Assurance Program (QAP) Version 4.0.2 Service Release, Target Release Date – July 11, 2000

The Department wishes to alert all Quality Assurance Program (QAP) users to the availability of service release Version 4.0.2. This is an upgrade to Version 4.0.1, and will resolve three software issues.

Version 4.0.2 is available for download from the Department’s SFAdownload Web site at
http://fsadownload.ed.gov/index.htm. The downloadable install file, called QAP402.exe, is self-extracting and will need to be run on ALL PC workstations that access the QAP database.

Please note you MUST have service release Version 4.0.1 loaded on your system before you can load Version 4.0.2. You cannot skip from Version 4.0 directly to Version 4.0.2. Version 4.0.1 is also available on the SFAdownload site.

The issues resolved by Version 4.0.2 are explained below. While most of your records may not be affected by these CMs, you still need to load version 4.0.2 on your QAP database. In order to determine which records may potentially have been affected, review the information below. In each of the CMs listed you are given a way to identify these records:

1) CM #2787: If you received the message “error, no edit number” when attempting to save a student's record in QAP Version 4.0 or 4.0.1, update your QAP software using the 4.0.2 service release. However, Version 4.0.1 MUST be loaded BEFORE Version 4.0.2 is installed. Once Versions 4.0.1 and 4.0.2 are loaded, you should be able to re-enter and save the student record.

If you did NOT receive this error, or have not experienced either of the following two CM issue, then you do not have to update to Version 4.0.2 prior submitting data to PAIB, although it is recommended you do so as soon as possible.

2) CM #2891: In order to verify whether or not you have any records affected by this CM you must follow steps A through F below:

A) Create a query under the QA tab using “(Pell Calculated EFC = 0 AND Dependency Status = D) OR Dependency Status = I”;
B) Save the query;
C) Using this query print the Case Listings report in either SSN or Name order (whichever you prefer);
D) IF any record appears on this list, then you must upgrade using the 4.0.2 service release prior to submitting your data to PAIB;
E) Once you update your database, you will need to open EACH record on the list and run “Process Recalculate EFC.” Once this is done, run “Process Calculate Readings.” Both will need to be done at the record level;
F) Once both processes are performed for each record on the list and saved, you may submit your data to PAIB, provided you do not meet any of the criteria for the other CMs listed here.

3) CM#2903--In order to verify whether or not you have any records affected by this CM you must follow steps A through F:

A) Create a query under the QA tab using “Dependency Status = D AND Parent's Earned Income Credit is >(greater than) 0(zero)”;
B) Save the query;
C) Using this query print the Case Listings report in either SSN or Name order (whichever you prefer);
D) IF any record appears on this list, then you must upgrade using the 4.0.2 service release prior to submitting your data to PAIB;
E) Once you update your database, you will need to open EACH record on the list and run “Process Calculate Readings.” This will need to be done at the record level;
F) Once performed for each record on the list and saved, you may submit your data to PAIB, provided you do not meet any of the CM criteria for the other CMs listed here.

To run the service release install, download the QAP402.exe file from the SFAdownload site to a directory on your hard drive or network. Close all running applications, go to Start | Run, type in the directory location of the downloaded file, type the file name itself (I.E. C:\Temp\QAP402.exe), then click OK. This will extract the necessary install files and automatically launch the install program.

If you have multiple PC workstations accessing a networked EDExpress database, copy the install file from PC to PC, running the install on each as you proceed, or run the installation program from the network drive it is saved to. Be sure to reboot each PC Version 4.0.2 is installed on once the installation program is complete.

NOTE: Version 4.0.2 will not perform any updates to your QAP database (QAP90.mdb).
