PublicationDate: 12/18/98 Summary: Tip of the Week - Using Global Delete Author: CPS - Central Processing System (CPS) Posted December 18, 1998 TO: All Destination Points FROM: CPS Customer Service RE: Tip of the Week --- Using Global Delete This week's tip highlights a feature or process in the EDExpress and Pell Payment software: Using Global Delete. EDExpress and Pell Payment software users have the ability to delete student records from their database(s) by using the Global delete feature. Deleting unused or unneeded records can serve several purposes, including reducing the size of your database and generating more accurate record counts and reports. For example, to use EDExpress Packaging to generate FISAP reports, you must import all of your valid student ISIR data into the Packaging module. To ensure the accuracy of the FISAP reports, you should only import ISIR records for those students who attended your institution. You can use Global delete to either eliminate the ISIR or remove the Packaging record for those students who listed your school code but never enrolled. Likewise, you may want to delete student records in your Pell Payment software for students who withdrew or never attended your institution. This will ensure payment information is not submitted for these students, and will also make your record count on summary reports more accurate. NOTE: We recommend you run a full database back-up prior to deleting any records from the EDExpress or Pell software. You should also run a database repair and compact after deleting any records to preserve database integrity. Global delete is accessible via the File/Delete menu option in the EDExpress and Pell Payment software. In EDExpress, you will first need to designate which module you want to delete records from (and, in the case of the Application Express modules, whether you want to delete RAD or ISIR records). Click "OK" after selecting the module, and you will be presented with a selection criteria screen for identifying which records you wish to delete. Click "OK" again once you have chosen your criteria to initiate the delete. In the Pell software, you will immediately be presented with the selection criteria upon clicking File/Delete. If you have more than one institution defined, be sure to check the reporting and attended campus IDs for accuracy before initiating the delete.
