This week's tip highlights a specific feature or process in the EDExpress software: Using the Update and Compare Demographic Data Fields
In the 1998-1999 and 1999-2000 EDExpress for Windows software, two fields on the Application Express Import screen allow you to govern how new ISIR information affects existing student demographic information. "Update Demographic Data" will update any applicable fields (address, date of birth, dependency status, etc.) on the DEMO tab during ISIR import with the ISIR file's data. "Compare Demographic Data" will print a comparison of imported ISIR data and demographic data in your current database during the import process. If you check both fields, the software will both update data and print a comparison report.
The "Update Demographic Data" feature will automatically keep the DEMO tab current with the most recent ISIR information and prevent you from having to do this work manually. The "Compare Demographic Data" feature will allow you to see what has changed on the new ISIR and determine if said change(s) should be recorded on the student's DEMO tab. Using both features will update the records and also give you a report to determine if changes made were correct and necessary. Keeping your demographic data current is important if you create queries from fields on the DEMO tab.
During any ISIR import, the software will first check the ISIR transaction number on the DEMO tab; it performs the update or includes the record on the comparison report only when the transaction number on the new ISIR is greater than or equal to the transaction number of the Latest Original Student ID value on the corresponding DEMO record.
To automatically use these features during each ISIR import, check the "Update Demographic Data" box and/or the "Compare Demographic Data" box under Tools/Setup/App Express/System. You can also select these options manually when importing ISIRs via File/Import/App Express/ISIR Data.
