PublicationDate: 4/30/99 Summary: Tip of the Week -- 1999-2000 Year-to-Date ISIR Requests Author: PSS - Program Systems Service Posted on April 30, 1999 TO: All Destination Points FROM: CPS Customer Service RE: Tip of the Week --- 1999-2000 Year-to-Date ISIR Requests This week's tip highlights a specific function of EDE --- 1999-2000 Year-to-Date ISIR Requests Schools occasionally need Year-to-Date (YTD) ISIR data files to receive the records processed before they became operational for daily ISIRs, or to rebuild a database after a hardware failure or a natural disaster. This tip explains how to submit YTD requests to the CPS for processing. To request a YTD ISIR file, you must be enrolled with Title IV WAN and productional for automatic ISIRs for 1999-2000. You will need to use your EDconnect software to connect to the CPS to submit your YTD request. First, connect to CPS On-Line Query. If you use EDconn32, click on the "Window" menu option and select "3270 Emulator." Your modem will dial, and when it connects to the network you should see a terminal screen. In the User ID field of that screen, enter your TG number, and enter your TG password in the "Password" field. Hit enter, and you will arrive at the On-Line Query Options Menu. If you use a prior version of EDconnect for Windows, click on the "Window" menu option and select "Net Connect" which will connect you directly to the on-line query menu. Once you reach the On-Line Query menu, press the F3 function key to select CPSQuery. You will then connect to a screen containing the NCS logo, with the cursor in the upper left corner. To request a Year-to Date file for the 1999-2000 school year, type "p0cp" on this screen and click enter to access the 1999-2000 CPS Main Menu. (Note: Throughout this process, you will have the most success using the enter key on your numeric keypad.) On the CPS Main Menu screen, type "6" and click enter to bring up the 1999-2000 YTD ISIR Request menu. Use your tab key to navigate forward from field to field, and shift-tab to navigate backwards. Your destination code (TG number) and institution name will be displayed on the screen. For the "Is this request for all institutions?" field, enter an "X" next to "Yes" if you want YTD ISIR data for all of the institutions serviced by your TG number. If you do not want to request YTD ISIR data for all the institutions you service, enter an "X" next to "NO." If your request is for all the institutions you service (i.e., if you answer "Yes" to "Is this request for all institutions?"), follow these procedures: 1) Enter the date range of the YTD data you wish to receive (in MMDDCCYY format). If you want your YTD file to include all data from the beginning of the 1999-2000 processing year until the current date, leave these fields blank. 2) To submit your YTD request, verify that all of the information on the screen is correct and then press the F5 key. You will then receive a "Update Successful" message at the bottom of the screen to indicate that your request was successful. If your request is NOT for all institutions serviced by your TG number (i.e. if you answer "No" to "Is this request for all institutions?"), follow these procedures: 1) Click enter. A blank YTD ISIR Requests by Institution screen will appear. 2) Type the six-digit Federal School code in the INST CODE field, the start date (MMDDCCYY format) under START DATE field, and the end date (MMDDCCYY format) under the END DATE field for each institution for which you want YTD ISIR data. If you want your YTD file to include all data from the beginning of the 1999-2000 processing year until the current date, leave these fields blank. Use your tab key to move from field to field. 3) Press enter to validate codes and dates on this screen. 4) Correct any errors and press enter. The message "All Data Valid" displays. 5) Press F8 if you have more institutions to enter. A blank Institution YTD ISIR Requests screen will display. Repeat steps 2-4 above. 6) Press F3 to return to the Institution YTD ISIR Requests screen when you have finished entering institutions. 7) To submit your YTD request, press the F5 key. You will then receive a "Update Successful" message at the bottom of the screen to indicate that your request was successful. To exit CPS On-Line Query, click the F3 key to return to the main menu. Enter 99 and click enter to log off, then select "Exit" or "Close" from the "File" menu. When your YTD request is processed, you will be sent a YTD00OP.* file via the Title IV WAN network, which you can draw down and import into your EDExpress or third-party software to populate your database with the requested ISIR data.
