The EDExpress software edits various data during the import process to report on the SSCR import report. The most common End of Entry Edit on the import report is 9010 which prints the warning message, "You cannot update an SSCR record that has been sent or accepted." This occurs if the record being imported into EDExpress currently exists on the SSCR table AND the SSCR status is 'B' (batched). Determine which of the two following sets of instructions applies to your institution. Follow the steps of the appropriate set to help make your SSCR processing run more smoothly. Please call CPS Customer Service at 1-800-330-5947, option 8 with any questions. #1: SSCR ROSTER ALREADY IMPORTED These steps tell you how to process records which received the 9010 End of Entry message if you have already imported your SSCR Initial roster. 1. Update all the records imported from the DICR97OP file. The information imported into EDExpress overwrote (and updated, including the SSCR status) any existing records residing on the SSCR table. If you received the 9010 End of Entry Edit on any records, update these records following your normal process. 2. When every record has been updated, export them as an Automatic Batch and transmit the batch to NSLDS. #2: SSCR ROSTER NOT IMPORTED AND PREVIOUS SSCR DATA IN EDEXPRESS These steps will prevent the 9010 End of Entry message because no records will be on the SSCR table to trigger it. 1. Backup or copy the EXPRESS7.MDB file. 2. Clear the SSCR database BEFORE importing the new initial roster. Use caution when using the clear files option because if you inadvertently select other databases, you will lose that database's information. A. In EDExpress select Tools | Utilities. B. Select Global | System and click on the Clear files button. C. Select SSCR Database as the Database Type and click OK. 3. Once the SSCR table is cleared, run EDExpress utilities: Repair, Compact, and Database Verification. A. If database verification resolves any errors, run repair and compact a second time. 4. Import the DICR97OP file. A. Route the import report to either a printer or a file to have a permanent copy of the error and warning messages. 5. Update all the records imported from the DICR97OP file. 6. When every record imported has been updated, export them as an Automatic Batch and transmit the batch to NSLDS. |
