RE: DELETED PELL PAYMENT BATCHES (PREQ97IN)

DATE: 12/19/96

RECENTLY, IT HAS COME TO THE ATTENTION OF CPS
CUSTOMER SERVICE, THAT SOME PREQ97IN FILES
ARE NOT READABLE AND CONTAINED INVALID
DATA. THIS IS RANDOMLY OCCURRING WHEN THE
SOFTWARE HAS ALREADY CREATED A
PREQ97IN.DAT FILE AND THEN IT ATTEMPTS TO
OVERWRITE THIS FILE FOR THE NEXT BATCH. AS A
RESULT, CPS IS NOTIFYING THESE DESTINATION
POINTS VIA FAX WHEN PAYMENT BATCHES ARE
RECEIVED WITH INVALID DATA.

IF YOU ARE ONE OF THESE DESTINATION POINTS,
YOU CAN DO THE FOLLOWING:

1) FIRST, DELETE THE PREQ97IN FILE FROM THE
DATA DIRECTORY. FOR EXAMPLE, LET'S SAY YOUR
DATA DIRECTORY IS C: TO DELETE THE
PREQ97IN FILE, GO TO A C:PROMPT.

TYPE CDAND THEN PRESS ENTER. THIS
SHOULD GIVE YOU C: AT THIS PROMPT,
TYPE DEL PREQ97IN.* THIS COMMAND WILL
DELETE THE PREQ97IN FILE(S).

2) NEXT, REGENERATE THE BATCH. TO DO THIS,
YOU MUST OPEN THE PELL PAYMENT FOR WINDOWS
SOFTWARE. GO TO THE FILE MENU AND SELECT
REGENERATE. YOU MUST ENTER THE BATCH
SEQUENCE NUMBER IN THE BOX ON THE SCREEN.
CLICK OK. THE BATCH WILL BE REGENERATED AND
THE PREQ97IN FILE WILL BE RE-CREATED.

3) THE LAST STEP IS FORMATTING THE PREQ97IN
FILE IN EDCONNECT AND TRANSMITTING.

TO AVOID THIS PROBLEM IN THE FUTURE, PLEASE
RENAME YOUR PREQ97IN.DAT FILE AFTER IT HAS
BEEN TRANSMITTED VIA TITLE IV WAN. AN
EXAMPLE WOULD BE TO RENAME IT TO
PREQ97IN.001, 002 ETC.

SEVERAL PERMANENT RESOLUTIONS TO THIS
PROBLEM ARE BEING EVALUATED. WHEN A
DECISION IS MADE ON THE PERMANENT
RESOLUTION THIS INFORMATION WILL BE MADE
AVAILABLE TO YOU IMMEDIATELY.

SHOULD YOU HAVE QUESTIONS OR NEED
ASSISTANCE, PLEASE CALL CPS CUSTOMER
SERVICE AT 1-800-330-5947. OPTION 8, SELECTION 1.

IF YOUR INSTITUTION IS STILL UNABLE TO
TRANSMIT A BATCH AND HAS PELL
AUTHORIZATION CONCERNS, PLEASE FAX A BRIEF
STATEMENT ALONG WITH YOUR PELL INSTITUTION
NUMBER, NAME, AND TELEPHONE NUMBER TO
DWAYNE RUMBER, IFMD, AT FAX NUMBER
202-401-0387.
